HVAC accounting has two problems most accounting software was not built for: job costing that mixes flat-rate service tickets with multi-week install projects, and a field operation that generates hundreds of small transactions your bookkeeper has to reconcile. The honest answer to “what is the best HVAC accounting software” is usually not a specialty accounting product at all – it is QuickBooks Online, set up correctly, synced to whatever runs your field operation. This guide covers when that is true, what it costs at current published pricing, and when it stops being true. It is part of our HVAC software series – start with the HVAC contractor software guide if you are evaluating your whole stack.

QuickBooks Online: the default, priced

QuickBooks Online list prices, read on Intuit’s pricing page on October 15, 2026: Simple Start $38/month (1 user), Essentials $85/month (3 users), Plus $140/month (5 users) and Advanced $340/month (25 users). Intuit was also showing 50% off for the first three months on every paid tier; budget on the list price, because the discount ends. For HVAC the meaningful line is Plus: it is the first tier where Intuit lists project profitability tracking and inventory tracking for parts and equipment. Most HVAC shops with real install work should price Plus, not Essentials. If you are renewing, check your own renewal notice rather than the list price. The 2026 changes are covered in our QBO price increase breakdown.

Our full setup walkthrough – chart of accounts, items vs. categories, the classes-vs-projects decision – is in the QuickBooks Online guide for trade contractors.

The part that actually determines success: the field-to-books sync

An HVAC shop’s accounting quality is mostly decided outside the accounting software. If invoices, payments, and job costs originate in your field platform and sync cleanly, your books stay current; if techs invoice on paper and someone re-keys it, no accounting product saves you. Jobber and Housecall Pro both maintain QuickBooks Online integrations aimed at exactly this handoff, and ServiceTitan handles accounting export at enterprise depth. What each sync moves (and what it double-creates if configured badly) differs enough that we wrote a dedicated, vendor-verified guide: field service software that works with QuickBooks. Read that before you buy either side of the stack.

HVAC software compatible with QuickBooks: Online vs. Desktop

If you are shopping for HVAC software that works with QuickBooks, settle one question before you compare anything else: are you on QuickBooks Online or QuickBooks Desktop? Some popular platforms, Jobber among them, sync only with Online. If you are still on Desktop, read our QuickBooks Desktop discontinuation guide before you build a new workflow around it. The table below covers six field service platforms HVAC shops commonly evaluate, listed alphabetically. Each row is taken from the vendor’s own integration page or help center, read October 15, 2026.

PlatformQuickBooks OnlineQuickBooks DesktopWhat the vendor says about the sync
FieldEdgeYesYesCustomers and jobs are created in FieldEdge and sent to QuickBooks; ones created in QuickBooks do not sync back
FieldPulseYesYes (through the QuickBooks Web Connector on the Windows PC running Desktop)Two-way sync of customer, invoice and payment records with QuickBooks Online
Housecall ProYesYesQuickBooks Online sync is listed under the Essentials plan on its HVAC pricing page
JobberYesNo (one-time client import only)One-way, Jobber to QuickBooks, in real time; listed as a Connect plan feature
Service FusionYesYesInvoices, payments and customer data sync automatically to QuickBooks Online; separate Desktop setup course
ServiceTitanYesYesAlso integrates with Sage Intacct, NetSuite and Viewpoint Vista; pricing is quote-only

Two things this table cannot tell you. The first is sync direction. A one-way sync, like Jobber’s, rarely creates duplicate records. A two-way sync, like FieldPulse’s, lets your bookkeeper edit in QuickBooks, but it gives you more ways to break the books if two people edit the same invoice. The second is which plan carries the sync. Several vendors gate it above their entry tier, so check the pricing page for the exact plan before you budget. Our field service software and QuickBooks guide goes further into what each sync moves.

When QuickBooks stops being the answer

Three signals you have outgrown QBO: you need percentage-of-completion revenue recognition on large install contracts; you run multiple entities or locations that need consolidated reporting beyond what Advanced offers; or your service division is big enough that the FSM platform’s own accounting module (ServiceTitan’s, for instance) becomes the system of record. At that point the conversation is construction-grade accounting – Sage, Foundation, and their peers – and it is an accountant conversation, not a software-review conversation. Alternatives like Xero and FreshBooks are credible for very small service-only shops; we compared them in the contractor accounting software guide.

Job costing: the discipline layer

Software records job costs; it does not make you track them. The shops that know their real margin per install decided what counts as a job cost (labor burden, not just wages; the crane rental; the permit) and enforced it. If you want a lightweight way to build that discipline before or alongside QBO Plus, our $29 Job-Costing Tracker is the spreadsheet version of exactly that structure.

FAQ

What accounting software do HVAC companies use?

Most small and mid-size HVAC companies run QuickBooks Online synced to a field service platform. Larger commercial and mechanical operations move to construction-grade systems (Sage, Foundation) or run accounting inside an enterprise FSM like ServiceTitan.

What HVAC software is compatible with QuickBooks?

We checked six vendors’ own pages on October 15, 2026. FieldEdge, FieldPulse, Housecall Pro, Service Fusion and ServiceTitan document integrations with both QuickBooks Online and QuickBooks Desktop. Jobber syncs with QuickBooks Online only, one-way. FieldPulse is the one that describes its QuickBooks Online sync as two-way. Match the platform to the QuickBooks version you actually run. See the comparison table above.

Which QuickBooks plan does an HVAC contractor need?

Plus ($140/month list price, read October 15, 2026) if you do installs and want per-job profitability and parts inventory. Essentials works only for service-ticket-only shops that do their job costing elsewhere. Simple Start is for solo operators.

Do I need HVAC-specific accounting software?

No such category really exists at small-business scale – what gets marketed that way is either field service software with invoicing, or general accounting software with a template. The HVAC-specific layer belongs in your field platform; keep accounting on a mainstream system your accountant can work in.
