Mechanical contracting sits awkwardly in the software market. You are bigger and more commercial than the residential HVAC shops most field-service apps target, but “construction software” mostly means general contractors. The tools that fit are the commercial service platforms – and almost none of them publish pricing. This guide covers who actually fits each platform, what is publicly knowable about cost, and the questions that get you a real all-in quote instead of a demo-room number. If your work is mostly residential or light-commercial HVAC service, our HVAC contractor software guide is the better starting point.

Why mechanical is a different buy than HVAC service
A residential HVAC company lives on speed: book the call, dispatch the tech, invoice the homeowner. A mechanical contractor runs two businesses at once – a service division with agreements and recurring PM work, and a projects division with bids, submittals, progress billing, and retainage. Most field-service software handles the first business well and the second barely at all. That split is the single most useful filter when you evaluate tools: ask every vendor to show you a service agreement renewal AND a multi-month project with progress billing, in the same demo.
The commercial-first platforms
BuildOps – built for commercial mechanical
BuildOps is the platform aimed squarely at commercial HVAC, plumbing, electrical, and multi-trade mechanical shops – service and construction in one system. Pricing is custom, built around user counts and the modules you take, and the sales process is a real scoping exercise rather than a checkout page. It is the most credible dedicated option in this niche, and the right expectation is that it targets established commercial operations, not five-person shops.
ServiceTitan – scale, if you can absorb it
ServiceTitan is quote-only and priced per technician, and it has been moving deeper into commercial and mechanical workflows. For a mechanical contractor with a serious service division it belongs on the shortlist next to BuildOps. The honest caveat we give every time: implementation is a project measured in months, and below roughly ten techs the overhead usually outweighs the payoff – our alternatives guide exists for exactly that case.
FieldEdge – the QuickBooks-native service option
FieldEdge has decades of history in HVAC/mechanical service and is known for tight QuickBooks integration and flat-rate pricebook workflows. Like the others it is quote-only, with office and field seats priced separately – get your exact seat mix quoted. For shops whose back office lives in QuickBooks and whose revenue is service-agreement-driven, it is a focused, lower-drama alternative to the big platforms.
The value plays
Service Fusion sells flat monthly tiers with unlimited users – Starter $245, Plus $382, Pro $627 on monthly billing (15% less billed annually), per its pricing page. That is a structurally different deal from per-tech pricing, and the reason mid-size shops with lots of office staff gravitate to it. If per-user fees are what is bleeding you on your current platform, this is the pricing model to benchmark against.
Jobber (Core $49, Connect $139, Grow $199 for one user, monthly billing) is the entry point for small mechanical crews doing light commercial and service work. It will not do submittals or retainage – but if your projects division is small and your service work needs organizing today, it is the fastest, cheapest way to get scheduling, quoting, and invoicing off spreadsheets. See our dispatch software guide for how these platforms handle the day-to-day board.
Getting a real quote: the five questions
Because most of this market is quote-only, the buying skill is making quotes comparable. Ask each vendor: 1) all-in first-year cost at my exact seat count, including implementation and training; 2) office seats vs. field seats – what does each cost; 3) which modules in the demo are add-ons; 4) what does the QuickBooks (or Sage) sync actually move, in both directions; 5) contract length and what happens to my data if I leave. Then put the answers side by side with your accountant – our contractor accounting guide covers the back-office half of that conversation.
FAQ
What software do mechanical contractors use?
Commercial mechanical shops mostly run BuildOps, ServiceTitan, or FieldEdge for service and operations, usually synced to QuickBooks or Sage for accounting. Smaller shops and light-commercial crews often run Jobber or Service Fusion. Dedicated estimating tools for sheet metal and piping takeoffs are a separate purchase from all of these.
Why do none of these platforms publish pricing?
Commercial platforms price by seat mix, module selection, and implementation scope, and they want the conversation before the number. That is not automatically a red flag – but it puts the burden on you to force comparable, all-in quotes. Use the five questions above.
Is there a genuinely cheap option for a small mechanical shop?
For service work, yes – Jobber starts at $49/month for one user on monthly billing (less on annual). The trade-off is project depth: no submittals, retainage, or progress-billing workflows. Small shops usually pair it with spreadsheets or accounting-side job costing until project volume justifies a commercial platform.
